Job Summary
The Recruiting Assistant supports the Talent Acquisition team by ensuring smooth and professional recruitment operations. This role focuses on interview coordination, candidate reception, and offer process administration, helping deliver an excellent candidate experience while maintaining efficient hiring workflows.
Key Responsibilities
Interview Coordination & Scheduling
• Coordinate and schedule interviews between candidates, recruiters, hiring managers, and interview panels
• Manage interview calendars, meeting rooms, and virtual interview links
• Send interview confirmations, reminders, and follow up communications
• Prepare interview materials and ensure interviewers have required information in advance
Candidate Reception & Experience
• Welcome candidates onsite or virtually and ensure a professional, positive experience
• Guide candidates through interview logistics and answer basic process related questions
• Act as a point of contact for candidates during interview days
• Support employer branding by representing the company professionally at all times
Offer & Hiring Process Support
• Assist in preparing offer process documents
• Coordinate offer approvals and track offer status
• Communicate offers to candidates under recruiter guidance
• Support background checks
Recruitment Administration
• Maintain accurate candidate records in the Applicant Tracking System (ATS)
• Track interview and hiring metrics (e.g., interview completion, offer acceptance)
• Support recruiters with ad hoc administrative tasks as needed
• Ensure compliance with internal policies and hiring procedures
Qualifications & Skills
Required
• Bachelor’s degree or equivalent experience in HR, Business Administration, or related field
• High attention to detail and ability to manage multiple tasks
• Professional demeanor and strong interpersonal skills
Preferred
• Prior experience in recruitment coordination, HR operations, or administrative support
• Familiarity with ATS or HR systems
• Experience supporting high volume or fast paced hiring environments
