Job Summary:
To provide high quality administrative, operational, communication, and event support to the College Counseling Office; serve as key initial point of contact for students, families, faculty/staff, outside university representatives, and external stakeholders; coordinate the logistics of college counseling programs, classes, and events; manage confidential application-related materials; develop and maintain digital and print communications; support the Director, College Counselors, and Office Manager with scheduling, maintaining calendars, and office operations; serve as executive assistant to the Director.
Key Responsibilities:
• University Relations & Visitor Experience: Represent TAS to important external stakeholders, coordinate university visits including scheduling, greeting, leading campus tours, managing event planning logistics, and ensuring a professional and welcoming experience.
• Event Planning & Program Coordination: Serve as primary administrative and logistical support for events and programs, including 100+ annual university visits as well as college fairs, student and parent presentations, workshops, and college counseling classes. Coordinate AV/IT needs, catering, outside vendors, facilities, and other event logistics to ensure outstanding event management and organization.
• Communications, Marketing & Design: Develop, coordinate, and maintain high-quality marketing materials (digital and print) to students, families, universities, and the broader school community. Update and maintain website pages and digital resources using Framer and other relevant platforms. Provide English-Mandarin translation for meetings, written materials, and other communications when needed.
• Application & Recommendation Document Management: Coordinate the collection, tracking, organization, and uploading of confidential teacher recommendation letters, maintain accurate records, communicate with faculty.
• Operations, Scheduling, & Administrative Support: Manage calendars and appointments for the office and counselors, respond to inquiries from students, families, faculty, and university representatives; maintain office supplies, materials and textbooks, student files, prepare purchase orders and work orders, provide administrative support to the Director and College Counseling team, serve as an adult supervisor to monitor students and guests during events and classes.
• Data, Systems, & Technology Support: Maintain accurate information within college counseling and school systems, including MaiaLearning, Parchment, Canvas, Canva, and other relevant platforms. Assist with data collection, document management, and implementation of office systems and processes.
• Special Projects: Assist Office Manager and Counseling Team in collecting confidential data, submitting reports, and facilitating other administrative support related to college counseling and other independent projects as assigned by the Director of College Counseling.
10-month position every school year
Work Schedule: 07:30 AM to 16:00 PM, inclusive 0.5 hour lunch break
