Travel Coordinator
A Travel Coordinator in HR, working closely with the internal travel team, would typically focus on employee support, policy coordination, and travel-related HR processes.
Key job scope
1. Travel policy support
• Coordinate with the internal travel team on policy updates and employee communications
2. Employee travel support
• Support employees with travel arrangements that may involve HR considerations, such as new hires, transfers, expatriates, business travelers, and emergency travel
• Provide guidance on travel documentation, approvals, and required processes
• Monitor travel-related service issues impacting employees experience
3. Cross-functional coordination
• Work closely with the internal travel team, Global Mobility, Security, Payroll, Legal, and business HR partners
• Coordinate support for international travel, remote work while traveling, and other cases with HR or compliance implications
• Help align travel practices with employee welfare, immigration, tax, and mobility considerations
4. Crisis and duty-of-care support
• Support employee tracking and communication during travel disruptions or crisis situations
• Coordinate with Security, HR, and the travel team on employee assistance during emergencies
• Help manage travel-related employee support processes during natural disasters, political unrest, health events, or other crises
6. Reporting and administration
• Maintain travel-related HR records, trackers, and case logs
• Prepare reports on travel trends, employee issues, policy exceptions, and crisis support cases
• Support audits and compliance reviews related to travel processes
7. Program improvement
• Identify gaps in employee travel support and recommend process improvements
• Help develop FAQs, employee guidance, manager toolkits, and training materials
• Support implementation of new travel-related processes, systems, or employee support programs
What this role is usually not responsible for
• Depending on the structure, the HR Travel Coordinator may not directly own:
• ticket booking and hotel reservations,
• travel agency management,
• expense processing,
• or final approval of business travel.
