Key Responsibilities
Primary Liaison with Travel Agent
Serve as the main point of contact with the external travel agent for all company-related visa applications
Receive and understand visa document checklists and requirements for different visa types and countries
Submit complete information and document packages to the travel agent
Relay follow-up requests or additional information needs from the travel agent to employees and collect responses
Employee Guidance & Information Collection
Clearly explain visa procedures, timelines, and required documentation to employees
Guide employees on information needed for visa application forms prepared by the travel agent
Collect, review, and organize supporting documents from employees before submission
Coordinate with HR or management to obtain required internal approvals or supporting data
Quality Control & Process Management
Review submitted documents to ensure they meet required standards and specifications
Maintain tracking logs for all visa applications, including status updates and deadlines
Ensure confidential and secure handling of employee personal documentation
Required Qualifications and Skills
Previous experience in coordination, administration, or customer service roles
Experience in travel administration or vendor coordination is highly preferred
Strong communication and interpersonal skills
Ability to coordinate effectively between employees and external vendors
Proficient in Microsoft Office Suite, including Outlook, Excel, and Word
Able to handle confidential information with professionalism and discretion
Preferred Qualifications
Basic understanding of visa categories such as business or tourist visas is a plus
Experience in shared services or HR support functions is preferred
